  • Schedule all 5 contests with the help of the club Executive Committee
  • Assign a Contest Chair for each at least 30 days prior to the event
  • Familiarize yourself with all aspects of running a contest
  • Be prepared to provide a fair amount of assistance if necessary (You will act as a mentor to the Contest Chair)
  • Encourage current members to participate in the contests as contestants or support staff
Contest Chair   More Info

You are responsible for organizing the contest and ensuring the event is successful. Your duties are divided into 4 distinct categories:

Preparation

  • Set a realistic budget (Revenues through entrance fees and/or 50/50 draws should cover all expenses)
  • Select a convenient time and location for the event
  • Ensure that all supplies and required services will be on hand when needed
  • Select a Chief Judge
  • Mortify contestants of the contest rules including eligibility requirements
  • Promote the contest within the club and externally through the VP Public Relations

Pre-Contest Briefing

  • Verify that all contestants are on site and ensure that you have the correct pronunciation of their name
  • Draw for the speaking order
  • have the Chief Judge review the timing criteria with the speakers and timers

The Contest

  • Open the contest with a brief introduction covering verification of rules
  • Announce the speaking order
  • Introduce each speaker
  • Give enough time to judges after each speech
  • On completion of the contest, ask judges to tally their results and hand their ballots over to be counted and subsequently disposed of
  • Interview each speaker and hand out a Certificate of Participation
  • Collect contest results from the Chief Judge and handle any disputes and/or disqualifications
  • Announce the winners

Post Contest

  • Record contact information of the winners to be passed on to the next level competition
  • Publicize the winners
  • Verify that all contest expenses have been paid
Chief Judge   More Info
  • Appoints Judges, Tie-breaking Judge, counters and Timekeepers informing them exactly what their function is
  • Reviews the Contest Rules, Judging Guide and Ballot, disqualification rules
  • Oversees the ballot counting and subsequent disposal
  • Provides a list showing the winning order to the Contest Chair
Tie-Breaking Judge   More Info
  • Identity known only to Chief Judge
  • Ranks all contestants, nor just the top three
  • Vote only comes into play if there is a tie score by the regular Judges
Judge   More Info
  • Familiarizes him/ herself with the judging criteria and point system
  • Tallies up point scores for each contestant and establishes 1st, 2nd, and 3rd placement
Timekeeper   More Info
  • Operates timing lights and stop watch based on the time specifications
Counter   More Info
  • Collects the ballots from the judges and records the scores on the Tally Sheet under the supervision of the Chief Judge

  • Carries out normal housekeeping duties including setting up the room, electrical facilities, food items, etc relating to the contest
Contestant   More Info
  • Prepares and delivers their speech within the contest guidelines and time restrictions
