President    
  • Serves as the club CEO and is responsible for the general operation of the club, ensuring that the executive team as well as the general membership meets the club standards
  • Sets the goals for the year and oversees the progress towards the Distinguished Club designation
  • Ensures that the club actively follows membership building programs
  • Provides leadership and encouragement to strive for continual higher club standards, better facilities, and personal goal fulfillment of the membership
  • Schedules and chairs executive meetings to measure progress toward goal achievement, new issues needing discussion, financial status of the club, as well as area/ division/ district issues, etc that may have an impact on the club
  • Attends various TM sponsored meetings and elections (area/ division/ district) and dissimilates appropriate information accordingly to all members
  • Is actively involved and keeps up-to-date with other clubs
Past President    
  • Provides guidance to club officers and members
  • Chairs the Nominating Committee for annual club officer election
  • Assists in preparation of the Club Success Plan
  • Promotes club efforts to achieve 'Club Distinguished' status
VP Education    
  • Occupies the second highest office (after President) and fills in as needed for President-level functions at club/ area/ division functions
  • This position is by far the most labour and time intensive function in the club and requires attention on a daily basis
  • Schedules all role assignments and updates the website roster accordingly
  • Evaluates the current standing of all members and promotes their participation and commitment towards their own goals as well as the club objectives in terms of Club Dintinguished designation
  • Pays particular attention to the needs of new members, assigning them minor roles within the first month and following their progress intensively
  • While not restricted to new members, encourages all members to have a mentor assigned for encouragement and performance improvements. Runs the club mentor program.
  • Tracks member progress during the year (usually via spreadsheet files)
  • Promotes the various contests, theme nights and special events, encouraging participation
  • Signs speaker's Records of Assignments and ensures that eligible members submit their award applications to TMI


Because of the workload, many clubs including Glen Abbey, assign two officers to this function either by time frame or area of specialization

VP Membership    
  • In conjunction with VP PR, conducts ongoing membership building programs (min 2 per year or as needed)
  • Ensures guests are greeted, given a membership application, and made feel welcomed and encouraged to return the following week
  • Follow-up on prior guests, new members and non-attending members
  • For all prospective members, explains the TMI educational programs and their benefits
  • Holds induction ceremonies as needed to formally welcome new members
  • Works with VP Education to ensure new members are given functions ASAP
VP Public Relations    
  • Announces upcoming events and programs through appropriate media
  • As publisher and editor, is responsible for club newsletter/ bulletins
  • As webmaster, is responsible for maintaining the club website, ensuring that content is informative, up-to-date and intesting to potential new members
  • Promotes interest in club to local media, libraries, professional offices, etc to build up active membership
Treasurer    
  • Prepares budgets and records all financial transactions, monitoring expenses against set budgets
  • Collects annual dues, prepares TMI statements and forwards dues to TMI
  • In conjunction with VP Membership, ensures that all memberships are fully paid
  • Submits new membership applications and dues to TMI
  • Presents quarterly status report to membership. Opens books for audit
  • Ensures bank signature cards are updated for incoming treasurer
Secretary    
  • Records and reads the minutes of regular club meetings and club executive meetings and maintains these minutes in the club files
  • Handles all club correspondence on hehalf of other officers and maintains records theirof, filing the correspondence with other documentation (club constitution, bylaws, resolutions, etc)
  • Because of the importance of record keeping, this function is usually shared between two members (primary and fill-in)
Sergeant@Arms    
  • Arrange meeting room (seating, paper supplies, water, club banner, etc)
  • Ensure equipment needs are met (projector, flip chart, etc)
  • Keeps track of club supplies and re-orders year's supply as required
  • Introduces chairperson each meeting
  • Chairs the Social Committee and organizes annual events (Christmas Party, Summer BBQ, etc) with the help of volunteer committee members
  • At Glen Abbey, this function is also shared between 2 members (primary and fill-in)
