At Glen Abbey, we structure our 2-hour meeting such that as many members as possible get an opportunity to participate in speaking assignments. After all, this is one of the primary objectives of the Toastmasters mission.

Some are short, such as presenting a 1-minute impromptu response to a Table Topic Request; or giving a short Toast; or conducting a 3-minute Speech Evaluation, while other assignments can easily take 5 to 15 minutes, depending on the timing criteria outlined in the various Toastmasters speech manuals.

The Chairperson is in charge of the overall meeting, ensuring that it stays on track, that the previously published agenda is followed, and that all participants are on board, ready to carry out their specific assignment. He or she presides over the first half of the meeting which, amongst other items includes giving a Toast and a Point of View, the impromptu Table Topic Session, occasionally an Educational Presentation and the Business Session, which allows members to practice parliamentary procedure. The Parliamentarian then reports on the effectiveness of the session.

The Toastmaster takes over for the second half of the meeting, which primarily pertains to the prepared speech portion and the evaluation thereof, lead be the General Evaluator. Usually 2 to 3 Speakers present their material according to the specific objectives outlined in the manuals and are given valuable feedback by assigned Evaluators. To test our listening skills and our awareness of ah, uh or colourful language, the Quizmaster and the Grammarian respectively, give their reports.

This segment ends with an award presentation for Best Speaker, Best Evaluator, and Best Table Topics Participant. The Toastmaster relinquishes control back to the Chairperson, who, after receiving feedback from any attending guests, adjourns the meeting.
